Microsoft Teams: Advanced meeting policies for content sharing
Microsoft Teams will introduce advanced meeting policies for IT Admins to control content sharing in external meetings, requiring Teams Premium license. This includes screen sharing and whiteboard functionalities and will be available on various platforms. Rollout begins early May 2024, with full availability by late August 2024. No admin action is required before the rollout.
In Microsoft Teams, IT Admins will have the ability to control the content sharing permissions for users or groups participating in external meetings. The functionality will help to safeguard against the unintentional disclosure of sensitive information in meetings hosted by external tenants. (The user to whom the policy is applied needs to have Teams Premium license.)
The term content sharing encompasses the functionalities of screen sharing and whiteboard usage. It is crucial to understand that although users might lack the authorization to initiate a whiteboard session, they retain the ability to view and engage with a whiteboard initiated by another meeting participant.
This configuration applies to new Teams Desktop versions for both Windows and Mac, as well as Mobile platforms including iOS and Android, Web interfaces, and VDI 2.0 environments.

How this will affect your organization:
This feature gives IT Admins the ability to designate which externally hosted meetings will allow end-users to share content. To establish this policy, IT Admins need to go to: Teams Admin Center > Meeting Policies > Content Sharing Policies > Settings for participant content sharing in meetings hosted externally.
Please note that this policy is only applicable to users with a Microsoft Teams Premium license. Those without this license will not benefit from this policy.
