Microsoft Copilot: Enhanced notifications for Copilot use without transcription

Microsoft is updating Copilot notifications to clarify its use without transcription, ensuring data is not saved post-meeting. A customizable Privacy Policy link will be added, directing to an internal or default Microsoft Privacy Policy. Rollout begins late May 2024, completion by early June 2024. Organizations can prepare by setting a custom Privacy Policy URL.

We are updating the notification copy for Copilot in non-transcription mode to explain more clearly that Copilot is being used without transcription, and that data is not saved after a meeting ends. Additionally, we are incorporating a customizable Privacy Policy link. This link can direct to an internal URL specific to your tenant or default to the Microsoft Privacy Policy when an internal one is unavailable. The same link is utilized for the Recording and Transcription Privacy Policy.

When this will happen:

General Availability (Worldwide): We will begin rolling out late May 2024 and expect to complete by early June 2024.

How this will affect your organization:

Users will be able to click on Privacy Policy to open up an internal URL, if it is linked. This URL will be the same Privacy Policy URL that is used for Recording and Transcription Privacy Policies.

What you need to do to prepare:

If desired, you can customize the Privacy Policy link included in the pop-up notification for users. You have the option to specify a custom privacy policy URL for both internal and external users, which will be displayed in the notification that appears when Copilot is activated in a meeting without transcription or recording.

This capability is currently available and applies to the pop-up notification that users see in meetings when recording or transcription is initiated. We plan to extend support so that the custom link will also appear in the pop-up notification when Copilot is activated in meetings, as described above.

If you do not enter a custom URL in the Teams meeting settings within the Teams Admin Center or via PowerShell, your organization’s Microsoft Entra ID privacy policy will be displayed. If there is no Microsoft Entra ID, the Microsoft Privacy Policy will be shown instead.
